The key duties of this role include:-

Working with other support team colleagues to compete all business support functions of the office.

Providing reception cover, taking care to ensure that all public areas are tidy and welcoming

Provide excellent front of house support including answering calls, being aware of daily visitors and welcoming them

Managing incoming and outgoing post

Scanning documents as required and arranging document storage/confidential shredding

Co-ordinating parking arrangements

Meeting room management

Organising all refreshments & catering

Stationery ordering and management

CRM maintenance/ Access/ IRIS/ INVU

Making travel bookings and distributing related documents

Taking meeting minutes/action points in general production meetings

Creating Mail Merge documents

Produce letters, documents, PowerPoint presentations and other MS documents as needed

Typing and formatting charity accounts

Health & Safety annual audit and ongoing annual procedures.

Ensure the team submit their weekly timesheet

Setting up of new clients, checking paperwork complies with HW and money laundering procedures for sign off including generation and follow up of engagement letters.

Responsible for keeping office notice boards up to date.

Cover of all other general administrative duties when necessary.

Keeping up to date with systems and ensuring knowledge is kept up to date when new versions, modules, etc. are released.
